Alright, let’s talk eTIMS. The Kenya Revenue Authority (KRA) rolled out this new invoicing system, and for many of us, it’s a whole new beast. So, grab a cup of coffee and settle in as we break down what eTIMS is all about.

Basically, it’s a digital platform for creating and storing your invoices.

First things first, what exactly is eTIMS?

It stands for electronic Tax Invoice Management System. Basically, it’s a digital platform for creating and storing your invoices. No more paper trails, no more scrambling to find that specific receipt from last month. Everything is online, secure, and hopefully, a little easier to manage.

Who actually needs to use eTIMS?

Pretty much everyone running a business in Kenya. Whether you’re a small one-person operation or a multi-branch giant, eTIMS is becoming mandatory. The reason? The law now states that any business expense you claim needs to be backed by an electronic tax invoice. So yes, even if you’re not registered for VAT, you still need to be issuing these e-invoices.

Now, before you start picturing a complicated system with a million buttons, let’s talk about the different solutions eTIMS offers. There are actually several options depending on your business size and needs. Here’s a quick rundown:

  •  eTIMS Lite (Web & USSD): This is a web-based solution accessible through the eCitizen platform or a USSD code (*222#). Perfect for small businesses with minimal transactions or individuals just starting out.
  •  Online Portal: This option caters specifically to service-based businesses that don’t deal with physical goods.
  • eTIMS Client: This downloadable software is ideal for larger businesses handling both goods and services. It allows you to manage multiple branches and keep track of sales across different locations.
  • Virtual/Online Sales Control Unit (VSCU/OSCU): These are for high-volume businesses with complex invoicing systems. They allow for seamless integration between your existing software and eTIMS, making bulk invoicing a breeze.

Okay, that’s a lot to take in, I know. But the good news is, there’s plenty of information available online from the KRA website. You can find tutorials, FAQs, and even step-by-step guides on how to register and use the different eTIMS solutions.
